Sampling Dashboard/Menu
The landing page for a Publisher Administrator shows the different administration options that are available to you. As we continue to upgrade the sampling experience, this page will begin to display information that will be helpful to you as a Publisher Administrator (for example, release notes, new VitalSource Bookshelf® feature updates, etc.).
Instructor Request Review Page
Approving or Denying an Instructor Request
Please note that the requests on this list are not for book access, but for instructor status. While verifying a user as an instructor in the region they have requested will grant them access to the text, it is also important to note that, once a user is verified, they will not need to go through this verification process again. Therefore, the request you are being asked to consider is: Is this user an instructor, and do I wish to allow them access to the text via the Educators’ Portal?
As a Publisher Administrator, you can bulk approve or deny instructor requests on the main Instructor Requests landing page. By checking the box on the left-hand side, you can select all or some of the users awaiting review and then click “Approve” or “Deny”. You may also click on a user’s request to view more information about the user and their request before approving or denying access.
Sorting and Downloading Your Requests
You may sort and filter by region, or download the list of instructors who have submitted requests. You can also click through to a user’s request to view more information about the user and their request before approving or denying the request.
Publisher’s Menu
Companies
As a Publisher Administrator, you can view all the companies with which you are associated in that role. The company information shown in this area is based on data from VitalSource Manage. If you believe any information needs to be updated, please contact your VitalSource Customer Success Manager.
Searching
You can now search across companies for a user, campaign code, etc., to ensure you click through to the correct company to manage events or individuals.
Publisher Administrators can also create other Publisher Administrators for the companies with which they are associated and no longer need to rely on a VitalSource administrator to add a Publisher Administrator on their behalf. In addition, they can continue to manage Publisher Representatives, Campaigns, Recommendations, etc., either in bulk or individually.

Manage Campaigns
Recommendations can be grouped under Campaigns if you wish to track and manage your data in this way. To add a campaign, click on Manage Campaigns. Enter the code (this must match your CRM, if you use one) and the campaign name.
You may also select which emails Publisher Representatives receive when sending a recommendation. By default, you will see a campaign called vitalsource_default, which can be used if you do not wish to set up a custom campaign.
Manage Admins: Grant Access
Publisher Administrators are those at your company who approve instructor requests. Representatives at your company who are solely responsible for sending recommendations do not require administrator access. We recommend assigning Administrator status only to individuals who will actively approve instructor verification requests and/or serve as a backup for that role.
Manage Reps
To allow a representative at your company to send recommendations to instructors, add them as a Publisher Representative by clicking the Manage Reps button in the Publisher menu. Click Grant Access in the upper right-hand corner and follow the instructions provided. We recommend reviewing this list periodically and removing any individuals who no longer require access.
To add new Publisher Representatives in bulk, click on Manage Reps, then select the Grant in Bulk button. Your file must be in CSV format and contain the column headers “First Name”, “Last Name” and “Email Address”.
Manage Notifications
Email notification reminders can be set up to remind you to review any pending instructor requests. These reminders can be sent on a daily, weekly or monthly basis.
Send Recommendations (Bulk)
The Send Recommendations button allows you to upload a spreadsheet of recommendations in bulk. The spreadsheet must include a header row containing the column names listed on the page.

Note: If there are special characters in the instructor’s email address, the representative/administrator will need to resend the recommendation(s) individually from the title’s Product Details page in the relevant portal.
View Bulk Recommendations
To view the status of the recommendations you uploaded in bulk, click on the View Bulk Recommendations button. You can then click on each import to confirm whether the upload was successful or if an error occurred.
Note:
At this time, recommendations do not expire and cannot be unsent or deleted. If an unaccepted recommendation needs to be cancelled, please contact VitalSource Support and include the following information:
- The email address of the publisher who sent the recommendation
- The email address(es) of the instructor(s) from whom the recommendation(s) should be removed
- The title/ISBN of all recommendations to be removed (for each account)
*If you would like to remove all unaccepted recommendations sent by a specific Publisher Representative/Administrator after a particular date, please include this information as well.
Sampling Reports Link
The Sampling Reports link will take you to https://reports.vitalsource.com. Please sign in using your Manage username and password. This is different from your VitalSource Sampling login. You will only be able to access this site if your Manage account has the appropriate permissions. If you are a Publisher Administrator and are unable to access this link, or if you require training on how to use the information in the reports, please contact your VitalSource Customer Success Manager.

The VitalSource Manage link will take you to https://manage.vitalsource.com. Please sign in using your Manage username and password. This is different from your VitalSource Sampling login. If you have any questions about how to use VitalSource Manage, please contact your VitalSource Customer Success Manager.
