Purpose

Provides a list of actionable opt-outs where access to content hosted by a publisher needs to be revoked or reinstated by that publisher. This report is used by publishers to action student content access where a student has opted out, opted (back) in, or where access codes are present. Partner Integration opt outs, by default, are excluded from the report, as PI opt outs are typically exposed to publishers via other methods.

Report Notes

  • Data is provided for sections where:
    • the Opt In/Opt Out Date was the prior day AND the student opted out before the deadline OR
    • the Opt In/Opt Out Date has passed AND the student has had a license update the previous day (e.g., late drops, re-enrollments).
  • In the Analytics & Insights Center UI:
    • The access filter will automatically filter the report to only show products that the user’s company (in Manage) owns, and this filter will only show available values.
    • Data is available for the current term, where the Opt In/Opt Out Date has passed, and previous 2 terms only.

✅ Best Practice for Publishers Who Use the Analytics & Insights UI

  • Default filters are set to:
    • Date Range = Yesterday
    • Student Experience = not PI
    • Action Reason = Opt In or Opt Out
      • IMPT! Download this report to view ALL results (for the day)
  • After download, update these filters:
    • Student Experience = contains Access Codes
    • Action Reason = any value
      • Then, click “Update”
      • IMPT! Download this report to view ALL results (for the day)
  • For SFTP drops:
    • Data is delivered daily where the Opt In/Opt Out Date is before 1 day ago AND the Schedule End Date is on or after 1 day ago.
    • Data is dropped by Publisher Parent (where applicable)
    • Default SFTP drop filter criteria is:
      • Date Range = Yesterday AND
      • Student Experience = not PI AND
      • Action Reason = Opt In or Opt Out OR
      • Student Experience = contains Access Codes AND
      • Action Reason = any value

⚠️ For Publishers who either:

  1. Do not action this report daily
  2. Receive SFTP drops and use the UI to do cross-comparisons

When reviewing data in the UI, only the latest license event will be present. This means for a user, only their most recent participation status will be visible. For example:

  • The Opt-Out deadline for Institution X is January 31st.
  • Student A opts in on January 15, then opts out the same day, then opts in on January 27.
    • Publishers who receive an SFTP drop on February 1st, will not see Student A on the report. Publishers who go into the UI on February 1st, will not see Student A on the report.
  • After the opt-out deadline, Student A drops the course on February 15th.
    • Publishers who receive an SFTP drop will see Student A on the February 16th report. Publishers who go into the UI on February 16th will see Student A on the report.
  • IF a Publisher (who received an SFTP drop or is using the UI) applies a Date Range = January 15 - February 15, they will only find Student A on the report 1x showing that Student A dropped the course on February 15th.
