Purpose

Use this dashboard to monitor borrowing activity for titles in your subscription. For the most relevant results: (1) select your institution, (2) filter to a single title by VBID, and (3) set your desired date range.

This is not live data. This report should not be used to see how many copies are currently in use or how many copies are currently available.

Report Notes

  • The Borrow Limit shown in this report may sometimes appear lower than your actual limit. This can occur when multiple copies of the same subscription have been purchased with overlapping dates.

    • For example, if your institution purchased Subscription A (borrow limit: 3) running January–December 2026, and later purchased another copy of the same subscription (borrow limit: 3) running September 2026–August 2027, the report will show a borrow limit of 3 during the overlap period — when in fact your actual limit is 6.

      • If you notice a discrepancy, please check Explore for your current active subscriptions and borrow limits.

Select a date or date range to filter the details report at the bottom of the page

Defaulted to last 1 complete day. This filter will not affect the top tiles.

Subscription Status

Status for the subscription from the Explore application

Defaulted to "Active". Users can change this filter to view "Expired" or "Upcoming" Subscriptions.

Institution

Name of the institution (Manage company name)

Use to filter or narrow results to a specific institution.

Asset VBID

Manage VBID of the asset within the subscription

Use to filter to a single title and see its usage within a subscription.

Subscription ID

Subscription VBID or Transaction ID (for Marketplace)

Use to search for a specific subscription.

Institution Country

Country the institution is located (2-character code)

Use to filter results to a specific country.

Subscription Start Date

Date the subscription begins

Use to set a date range, relative date (e.g., "last month"), or specific date.

Subscription End Date

Date the subscription ends

Use to set a date range, relative date (e.g., "last month"), or specific date.

Asset Publisher

Publisher of the asset (Manage company name)

Use to filter results to a specific publisher.

Count of times an asset has been checked out over the active date range of the subscription

All-Time Unique Users

Count of unique users that have checked out the asset over the active date range of the subscription

Users with Access by Day

Heatmap visual showing the number of unique users that had access to a title in the subscription

Explore Borrow Report Details

Detailed report showing date and users with access on that date for the asset in the subscription

 

Definition of fields

Count of Users with Access

Number of users that had access to the asset.

📃 Many times users will have access for a partial day. So it is possible that more users will have access in a given day than the borrow limit. One user's access may expire during the day and another user may gain access without their access overlapping. This would count as 2 users with access (even if the borrow limit is 1).

Asset VBID

Manage VBID of the asset within the subscription

Subscription Status

Status for the subscription from the Explore application. Included values:

  • Active - represents a subscription whose start date is in the past, and its end date is in the future.

  • Expired - represents a subscription whose end date is in the past.

  • Upcoming - represents a subscription whose start date is in the future.

Subscription ID

Subscription VBID, Asset VBID (for single title sales), or Transaction ID (for Marketplace transactions)

Subscription Name

Name of the subscription within Explore

Institution

Name of the institution (Manage company name)

Institution Country

Country the institution is located (2-character code)

Subscription Start Date

Date the subscription begins

Subscription End Date

Date the subscription ends

Borrow Limit

Borrow limit of the subscription

Subscription Borrow Duration

Borrow duration for the subscription
