Users 

Administrators are responsible for (1) assigning users to projects, and (2) managing users for all projects in their publisher.

Customer Administrator

A Customer Admin can invite new users to the SmartAuthor application using the Invite New User button on the Users home page:

 

Invite Users

1. Go to the Users tab.

2. Click Invite New User.

3. Complete the required fields: First Name, Last Name, and Email.

4. Select the level of permissions:

  • Customer Admin: The highest level of permissions, cannot be added to a group.

  • Select a group: The user is invited to the selected group(s) to create their new SmartAuthor account and by default has SmartAuthor Access only.

5. Click Save. New users will receive an email to create a new account.

Group Administrator

Invite Users

A Group admin can invite new users only with SmartAuthor access level of permissions, following the steps above. The Customer Admin checkbox is grayed out and cannot be selected.

Manage Existing Users

As a Customer admin, you can find any user with the search field. Group Admins can only search for users invited by them or users in the groups they manage.

Status Icons

The newly invited user's status is shown on the user list in the Users tab, you can check the invitation status, the last log-in, and the user's basic information at a glance on the list.

Actions

You can edit and perform actions over individual users with the more actions menu.

  • Cancel Invitation: You can cancel the invitation for a new user if the account is not already created.

  • Deactivate and Reactivate User: Active users can be deactivated to prevent access to SmartAuthor and groups.

A warning message is shown after trying to log in:

  • Access can be easily restored through the more action menu.

Edit User: Allows you to update user information. The Edit User pane enables you to change the user's name or email address.

  • Customer Administrators can elevate any user's access level or assign users to different groups.

  • Group Administrators can only edit users on their group(s), and cannot grant Customer Admin access as the option is grayed out.
