Creating Vouchers (Individual & Bulk)
Once agencies are created, you can begin creating vouchers for students. This page covers both individual voucher creation and bulk uploads using CSV files.
- Navigate to the All Agencies page.
- Click on the Agency Name or use the right-side menu and select Add Vouchers.
Individual Voucher Creation
- Select Create Voucher
- Fill Out the Voucher Form
Field Required Description Student ID or Email Recommended Auto-fills student info if matched with existing Bookshelf user. Voucher Code ✅ Unique code visible to the student in checkout. Dollar Amount ✅ Amount of funds assigned to the voucher. Start Date Optional Future start date delays fund availability. Expiration Date ✅ Required. Determines when voucher deactivates. Comment Optional Internal notes for tracking purposes. Notify Student Optional Sends voucher info to the student’s email address.
Bulk Voucher Upload
- Select Upload Voucher List.
- Click Choose File to upload a CSV.
- Use the downloadable template provided to fill in voucher data.
- Remove sample data before uploading.
- Upon upload
- You’ll see a summary of processed rows.
- Includes count of successful, updated, unchanged, and failed rows.
- A progress bar shows upload completion percentage.
Notes & Tips
- If student info is pre-filled, notify email is based on existing Bookshelf user email.
- If unmatched, student ID and/or email must be entered manually to ensure direct to student delivery.
- All vouchers must have an expiration date—maximum 1 year out.
