This page provides practical tips and guidance for managing users, agencies, and vouchers within the Voucher Admin UI.
Troubleshooting Agencies & Users
Missing Voucher Agency
- If an agency is not showing, verify it was created and marked as Active.
Users Not Appearing in Agency Assignment
- Confirm the user already exists in the All Users tab.
- Users must be added to the system before they can be assigned to an agency.
Voucher Creation Notes
Required Fields
- Voucher Code
- Dollar Amount
- Expiration Date (must be within one year)
Optional but Recommended
- Student ID or Email – auto-fills and supports student notification
- Start Date – allows delayed activation
- Comment – for internal notes
- Notify Student – sends voucher details to the student’s email
Important Notes
- Once a voucher is assigned by student ID or email, it cannot be reassigned in the voucher tool. If you are uncertain who the voucher should be assigned to, use the upload and leave ID and email blank (this will create an unassigned code).
Bulk Upload Tips
Before Uploading
- Use the provided CSV template and remove sample data before submission.
- Ensure all required fields are complete.
During Upload
- A summary will display how many rows were:
- Successfully uploaded
- Updated
- Unchanged
- Failed (with error detail)
- A progress bar will show real-time completion status.
After Upload
- Use Advanced Search or navigate to the agency’s voucher table to confirm the results.
SIS Automation & Pay Model Notes
SIS Automation
- Only one agency per school can be set to receive SIS-based data feeds for automated voucher creation.
Pay Model Types
- No Repayment – Student does not owe the institution; typically used like financial aid.
- Repayment Required – Student is expected to repay; this setup requires transaction data exchange between systems.
