Physical At-Risk Adoptions Report

Purpose

Provides insight to at-risk to fulfill physical/print adoptions that require intervention. The Akademos-VitalSource team flags items at risk as they confirm inventory with publishers or as they place course material orders for upcoming academic terms. This report provides institutions with insights where physical/print adoption fulfillment is not possible and an instructor needs to select new material for the current adoption cycle and where instructors will want to seek out new materials for the next adoption cycle.  

Dashboard Notes

  • The access filter will limit results to the companies that are associated to your (Manage) system user.
  • Use this report to reconcile problematic adoptions before the adoption deadline.
  • Use this report to drive instructor behavior to review new course materials for adoption for the next term to reduce provisioning material risk.

Definition of fields

Field NameDescription
 Risk Status

Indicates the risk to physical inventory availability:

  • Red - indicates that inventory is not acquirable in physical or digital formats and will not be possible to source
  • Blue - indicates that inventory is available in either a physical or digital format and is possible to source
 Action Required

Indicates the action(s) required to resolve issue:

  • This Term: Cannot Fulfill Update Adoption - relates to the risk status of “Red” and at-risk reason of “new edition” or “out of print”, indicates that the adoption cannot be fulfilled in digital or physical formats and must be updated to a new material selection to ensure students have materials for this current term.
  • Next Term: Red Risk, Consider New Material - relates to the  risk status of “Blue” and at-risk reason of “new edition” or “out of print”, indicates that the adoption may be challenging to fulfill next term and/or may result in a “Red” status next term. It is recommended for the instructor to seek new material to adopt for next term.
  • “Null” - relates to risk status of “Blue” and any  at-risk reason that is not “new edition” or “out of print”, indicates that inventory is available and no action is currently required.
 At-Risk Reason

Indicates why the adoption cannot be sourced:

  • Out of Print - material is not longer in print with the publisher and inventory may not be procured
  • Unable to Source Print - material is not longer in print with the publisher; inventory is depleted; but digital is still available
  • New Edition - the edition adoption has been superseded by a new edition and adopted edition may not be fulfilled
  • Awaiting Stock from Publisher - stock has been found and is awaiting delivery to the warehouse from the publisher
  • Alternate Format Available - publisher is not able to fulfill the adopted item as is and may be able to fulfill it through a different format, which can be one or more of the following:
    • Hardcover v. paperback
    • Print v. digital
    • Unbundled (i.e., bundle components available, but pre-pack bundle no longer available)
 Suggested ISBNIndicates a suggested ISBN to adopt when at-risk reason is “new edition”
 Backorder DateIndicates the date that the material will be available from the publisher when at-risk reason is “awaiting stock from publisher” or “reprint”
 Enrollment CapacityIndicates the planned enrollment for stock fulfillment
 Available QuantityIndicates the available quantity of the adopted item in all conditions (i.e., new, used, marketplace)
 Adoption DateDate adoption was submitted

  • SC = Student Choice
  • IA = Inclusive Access
  • EA = Equitable Access

 At-Risk Analysis Status

Indicates the status of the investigation related to the availability of the item

  • In Review - indicates the adopted item has been identified as at-risk, but has not yet been discussed with the faculty/adopter or escalated to the Adoptions Enablement team for investigation
  • Investigating - indicates that escalation and investigation of the at-risk adopted item has underway
  • Complete - indicates the the investigation of the at-risk item has been completed
 New OnlyIndicates if the adopter indicated that the materials must be new and not used versions
 Digital Available?Indicates if a digital option is available for the adopted material
