Export Banked Access Codes in Manage
Publisher admins can now export a list of active access codes directly from Manage, without removing any codes from the bank or affecting learner access.
What this feature does
Previously, the only way to see which codes were sitting in a code bank was to use Remove Access Codes by VBID. That action pulls codes out of the bank and emails the list, which can disrupt access for any learner who hasn't yet redeemed a code.
The new Export action is read-only. It provides visibility into a code bank's contents for auditing, reconciliation, or distribution planning, without removing codes or disrupting learner access.
How to export access codes
In Manage, go to the access code management area for the title.
Enter one or more ISBNs or VBIDs.
Select Export. This action is separate from Remove Access Codes by VBID and does not affect the bank's contents.
Manage generates the report in the background and emails a CSV to the account that requested it.
The code bank remains untouched throughout this process, and no learner access is affected.
What's included in the export
Each export lists the VBID and access code value for every active code in the bank. If a VBID entered can't be found (for example, if the asset has been removed), the email flags it at the top so it's clear which titles weren't included.
Permissions
No new setup is required. Export uses the same access-code permissions already in place for the account.
Troubleshooting
The two most common reasons code(s) are not uploaded successfully are:
-
Submitting duplicate records
- If your receive a report indicating codes were not uploaded, please check the codes to see if they are duplicates.
- If your receive a report indicating codes were not uploaded, please check the codes to see if they are duplicates.
-
Changing headers in the template
- Changing or removing the headers will cause errors with the upload. Please resubmit the access codes using a new template and existing headers.
